Accounting & Operations Coordinator
Part-Time | 32 Hours per Week | Downtown Milwaukee, WI
About the Role
Barrientos Design & Consulting is seeking a detail-oriented and trusted Accounting & Operations Coordinator to support the financial, administrative, and operational functions of our Milwaukee-based architecture firm. In this role, you’ll be responsible for bookkeeping, payroll reporting, accounts payable and receivable management, human resources compliance, and vendor coordination. This role is ideal for someone who thrives in a small, mission-driven office environment and enjoys working internally-focused to keep things running smoothly.

Key Responsibilities
Accounting & Bookkeeping
- Prepare client invoices, record payments, and follow up on accounts receivable
- Process accounts payable, enter vendor bills, and manage payment schedules
- Maintain accurate bookkeeping records using Deltek (or comparable AE software) with project-based cost coding
- Record deposits, credit card expenses, and receipts for monthly reconciliation
- Generate AP, AR, and payroll reports for submission to the firm’s CPA on a bi-weekly and monthly basis
Payroll & CPA Coordination
- Collect and verify bi-weekly employee hours for payroll
- Submit accurate payroll data to the CPA for processing
- Support CPA with monthly reconciliations and year-end filings
- Input and monitor monthly accounting data for CPA reporting
Human Resources & Compliance
- Maintain personnel files including I-9, W-4, and PTO documentation
- Assist with onboarding of new employees and compliance checklists
- Ensure confidentiality of all employee compensation and personnel matters
Vendor, Insurance, and Office Operations
- Track insurance policies and coordinate vendor certificates of insurance
- Manage office supply needs and vendor service contracts

The individual in this role will have access to sensitive company information. The highest level of confidentiality, discretion, and loyalty to the company is required at all times. Breaches of confidentiality will be considered grounds for disciplinary action. Candidates selected for hire will be required to sign a standard confidentiality and non-disclosure agreement (NDA) as part of onboarding.
Qualifications
- Bachelor’s degree in accounting, business administration, or related field preferred (or equivalent experience)
- 3 – 5 years of experience in bookkeeping, office management, or business operations (Experience Architecture, Engineering or Professional Services industry is preferred)
- Proficiency in Deltek or comparable AE software
- Familiarity with basic HR compliance (I-9s, PTO tracking, payroll reporting)
- Strong organizational and time-management skills
- Ability to work independently, meet deadlines, and maintain accuracy
- Must pass a court background check

Salary Range: $45k – $60k
