How often will we need to meet?

We structure meetings based on project phase and client availability. Early phases often require more frequent touchpoints (weekly or biweekly), especially for programming and stakeholder input. As the project moves into technical documentation, meetings become more milestone-based.

What kind of information will you need from us?

Common items include: existing building plans or site surveys (if available), vehicle or equipment inventories, staffing projections or shift schedules, maintenance workflows and space pain points, utility information or previous studies.

Do you coordinate with other consultants (i.e., civil, structural, MEP)?

Yes. If we’re leading the project, we’ll bring a full team. If we’re providing architectural consulting on a larger team, we’ll coordinate closely with all disciplines to ensure a seamless and integrated solution.

Who from our team should be involved in the process?

We recommend appointing a primary point of contact for coordination, but we’ll also need engagement from key staff, end users (mechanics, supervisors, operators, etc.), and department leadership at various stages. We’ll guide you on who should attend which meetings based on the topic at hand.

Can you help us secure funding or support grant applications?

Absolutely! We frequently assist clients with capital improvement justifications, space needs documentation, and supporting narratives for grant or board approvals. We can also attend presentations or public meetings as needed.

What if our needs change mid-project?

Facility planning is a living process. If priorities shift or new needs emerge, we’ll evaluate the impact and propose a thoughtful course of action, balancing flexibility with efficiency to avoid scope creep or delays.
